Data Entry

The professional data entry department at CMDI enters new records and record updates to existing records directly into the on-line database.  As each record is keyed, a list of possible duplicate records already on the file will be presented to the keyer for review.  This greatly reduces the chances of creating duplicate records.  CMDI routinely keys the following record types:

Adds:  Record all of the following information if available or applicable:

Name and Address

Home Phone, Business Phone, Fax

Email Address

Occupation / Employer Information

Spouses Name

Contribution Batch #, Date and Amount

Fund Code, Source Code, Solicitor Code,

Payment Type (Check, Credit Card…)

Payee Type (Individual, Partnership, PAC…)

Flag Code, Exception Code

Updates:  Record an additional contribution from a document with the IDnumber of an existing donor.

Contribution Batch #, Date and Amount

Fund Code, Source Code, Solicitor Code, Candidate Code

Payment Type (Check, Credit Card…)

Payee Type (Individual, Partnership, PAC…)

Flag Code, Exception Code

Updates with Changes:  Record the contribution information shown above and changes provided for the donor’s record (such as an address changes).

Finder File Updates:  Key as a contribution update using an ID number from a file of mail recipients.  Import donor information into the system.

Finder File Updates with Changes:  Same as above with information changes provided by the donor.

Best Efforts and Various Non-Contribution Updates to the File:  Record manual record updates such as occupation / employer information, flag additions (i.e. deceased), or changes provided without contributions to name, address or contact fields.

CMDI will also link images of check contributions to the individual donor records.  Processing of the campaign’s credit card contributions can be handled by CMDI as well using the campaign’s own merchant numbers.
